Set up ChatGPT to think, write, and work like you.
This step-by-step guide shows you how to structure your setup so ChatGPT understands who you are and what you’re working on — unlocking faster, more relevant results.
✨ Why This Works
- You’ll stop repeating yourself — no more retyping the same background, goals, or tone.
- ChatGPT can write in your voice — consistently
- Prompts get sharper, faster, and more strategic
- You can finally treat ChatGPT like a true teammate
⚠️ However, Proper Setup is key to your (and you AI’s) success
🔧 Introduction to Profile-Level vs Project-Level Setup
Here is a visual hierarchy to help you deicide what goes where:
Profile-Level (Customizing at your ChatGPT account level)
💡 This is for telling ChatGPT about you. Think of this area as representing all the hats you wear.
- All the roles you play
- Your tone, values, personality
- How you like to receive information
- Communication preferences
- Nickname, working hours, style
Project-Level (Sidebar Projects)
💡 Projects represent individual roles you play and can represent each facet of every role in an individual project.
- Specific strategy briefs, notes, docs, PDFs
- Instructions for how you want ChatGPT to help on this project
- Files: transcripts, spreadsheets, slides
- Sample writing that pertains to the specific project task/goal
🧠 Start with Profile-Level Setup
This is where you help ChatGPT understand the whole you — your professional background, goals, hobbies, tone preferences and working style.
٭ You can’t upload files at this level, but you can:
- Customize your tone and personality traits
- Share how you like to work and communicate
- Set consistent preferences that apply across all projects
✅ Tip: Use this for information that’s consistent across all projects , such as your leadership style, values, bio, favorite books, movies, music, style and/or tone of voice.
Step 1:
Find & select your name & avatar (typically on the top right or bottom left of your screen). Choose the menu item below:

Step 2
The more you tell ChatGPT, the better it will work for you. Fill out all the fields — including your tone, habits, and preferences.

🗂 Next Add Project-Level Context
📌 Set up a new project for each significant project, goal, or area of interest.

Example Projects:
- Professional Development
- Social Media Channels
- Home Chef
- Sr Director, Program Manager Tasks
- Volunteer
- Fiction Writer
Then upload files and write project-specific instructions.
Files to Upload:
- Strategy brief
- Meeting transcripts
- Product specs
- Personal checklists
- Writing Samples (i.e., Slack thread export pasted into a doc)
Sample Instructions:
- Summarize key takeaways from uploaded meetings
- Draft my weekly update in a friendly but concise tone
- Prioritize my tasks based on what’s in the doc
- Suggest ideas for the next chapter of my uploaded book
✅ Tip: Each project can contain multiple chats. Use one per topic to stay organized.
💬 Managing Multiple Chats per Project
💡 Thinks of chats as subfolders of an existing project. Each chat has a purpose. The name of the chat should reflect its purpose, allowing you to easily scan your sidebar and find what you need.
Chat Naming Tips:
- Use simple human language when naming a chat.
- Avoid vague names that won’t help you remember the topic
- Chat names can always be changed. Consider adding a prefix for the type or current phase of the work.
Chat Name Examples:
- Cover Letter: Head of PMM, Company X
- 2025 Annual Review Process
- Quarterly Exec Update
- 2025 Summer Meal Plan
